1. introduction
About the Organisation: PRACHI Hope Foundation (hereinafter referred to as PRACHI) is a newly formed NGO for providing support in various forms to patients affected by cancer, and to create and spread awareness about causes, symptoms and treatment options for cancer.
About the Website: This website is developed by PRACHI volunteers using readymade commercially available template and tools.This website is managed, owned & controlled by PRACHI NGO.
Our Privacy Goals:
- PRACHI is committed to protecting the privacy and confidentiality of the personal data we collect from cancer patients, their families, and other stakeholders.
- This Privacy Policy outlines how we collect, use, disclose, and safeguard personal information in accordance with applicable privacy laws.
- This Privacy Policy is a comprehensive privacy policy applicable to the personal data collected from patients, relatives, co-ordinators, and volunteers and Donors of PRACHI NGO
2. Definition
- Co-ordinators: Individuals responsible for managing and overseeing the NGO’s activities, services, interactions with patients, volunteers, doctors. The co-ordinators shall ensure the effective execution of support programs and facilitate communication between different parties.
- Donors: Individuals, firms, companies, societies or any organisations that contribute funds, resources or support PRACHI. This includes one time and recurring financial contributions, sponsors, grant providers and in-kind supporters.
- Patient: Any individual diagnosed with cancer who approach PRACHI NGO to seek support
- Relatives/Family Members: This includes the immediate family members of patients who may require assistance as well as persons accompanying the patient with the consent of the patient
- Volunteer: Individuals who offer their time and skills to support the NGO’s initiatives without monetary compensation. Volunteers may assist in patient care, fundraising, event organization, administrative tasks, or awareness campaigns
3. Information We Collect
A. Patient Data:
We may collect the following types of personal information of patients:
- Personal Information: Name, age, gender, contact details (phone, email, address), and identity documents such as driving licence, Aadhaar or PAN.
- Medical Information: Reports containing the diagnosis, treatment history, prescribed medications, MRI report and pathological findings.
- Demographic Data: Language preference, and location
- Communication Data: Email ID, Mobile number of the patient and of his/her relative.
- Usage Data: We may collect information about your interactions with our website and services, including IP addresses, browser types, and usage statistics.
b. Volunteer and Co-ordinators Data
- Personal Information: Name, age, gender, contact details (phone, email, address), and identity documents such as driving licence, Aadhaar or PAN
- Area of Specialisation: Professional details and experience
- Demographic Data: Language preference, and location
- Communication Data: Email ID, Mobile number
C. Donor Data
- Personal Information: Name, age, contact details, (phone, email, address), and identity documents such as driving licence, Aadhaar or PAN, in case of corporate donors- name of the company or organisation, registration number, address, PAN, Board Resolution
- Demographic Data: Language preference, and location
- Communication Data: Email ID, Mobile number of Donor or contact person of the company or organisation
- Financial Information: Payment details such as Accountholder information, Bank Account number, UPI ID, Bank, Branch, IFSC Code etc.
4. How We Collect Information
We collect information through:
- Direct interactions: The information may be collected by us through our website forms, email, communication via phone calls and in-person meetings. You may choose to provide personal data. You need not share personal data except where it is marked as mandatory. For providing services, we may ask you to provide personal data such as name, email address, telephone number, address and identity proof. This is for verification purposes. If you decide to register for any of our awareness events, we will require personal data such as name, email address, telephone number, address for verification and billing purposes.
- Indirect interaction: Through healthcare providers or referral agencies (with consent), website (cookies, analytics, and contact forms), publicly available sources and third-party organizations (only as necessary and legally permissible).

or support you are requesting. We will only use your data to contact you and to provide the information or support you requested.
5. Purpose of Data Collection
We use collected personal information for:
- Creating a database of volunteers, doctors, co-ordinators of the NGO
- Providing medical, emotional, and financial support to cancer patients and their families.
- Connecting patients with healthcare professionals or organisations such as recreation centres, hospitals, nursing homes, palliative care facilities and support groups.
- Processing donations, issuing receipts, and managing financial assistance programs.
- Communicating updates, awareness campaigns, and newsletters.
- Improving our services and operations through research and feedback.
- Ensuring compliance with legal, regulatory, and ethical obligations.
- Research and development in cancer care (after anonymising)

We do not sell personal information.

- To Legal & Government Authorities: When required by law, for legal compliance, or safeguarding rights.
- To Third-Party Service Providers: For IT support, payment platforms, fundraising platforms, and operational efficiency (bound by confidentiality agreements).
- To Partner NGOs and Charitable Organizations: When collaborating on patient support initiatives (with prior consent).
- For Donor’s Privacy: We will not sell or share our donor’s names or personal information with any other entity, nor send mailings to our donors on behalf of the NGO. This applies to all information received by us.

We take appropriate security measures, including:

- Restricted access to authorized personnel only.

8. Data Retention Policy
We will retain all data only for as long as necessary to fulfil our service obligations, comply with legal requirements, and maintain accurate records. After this period, data will be securely deleted or anonymized. If the patient visits again in the future, he/she will have to share his personal information again.
